Customer Data Handling

The pos-tioadan application is a Point of Sale (POS) system designed for inventory management and sales processing. A review of the system's architecture and data models reveals that it does not store or process any personally identifiable customer information. All sales transactions are recorded anonymously, focusing exclusively on product data and transactional totals.
The system's design, as evidenced in the database schema and application logic, prioritizes simplicity and operational efficiency for a small retail environment. There are no features for customer accounts, purchase history tracking per customer, or loyalty programs. The architectural overview explicitly notes the absence of user authentication, reinforcing that the system is not designed to manage distinct user or customer profiles.

Analysis of Data Storage
The application's data is persisted in an SQLite database named pos_inventory.db. The schema is defined within the Database class and consists of tables for products and sales, along with helper tables folio_counter and migrations. Crucially, there are no tables or columns dedicated to storing customer data.

Database Schema
The relationship between products and sales is based on product_id, with no link to a customer entity.
The diagram below illustrates the database entity relationships, highlighting the absence of a customer table.

Sales Data Model
The sales table records the details of each transaction. As shown in the table below, it captures what was sold, in what quantity, and when, but not who made the purchase. The folio number groups items within a single transaction but does not identify a customer.
| Column | Type | Description | Source |
|---|---|---|---|
id | INTEGER | Primary key for the sale record. | pos_app.py:42 |
folio | TEXT | A unique identifier for a single sales transaction (e.g., "F-0001"). Groups multiple items in one purchase. | pos_app.py:43 |
product_id | INTEGER | Foreign key referencing the id in the products table. | pos_app.py:44 |
quantity | INTEGER | The number of units of the product sold. | pos_app.py:45 |
total | REAL | The total price for this line item (price * quantity). | pos_app.py:46 |
timestamp | TEXT | The date and time the sale was recorded. | pos_app.py:47 |

Transaction and Receipt Process
The checkout process is entirely anonymous. When a sale is completed, the system updates product quantities and records the transaction details in the sales table. There is no step for identifying or associating a customer with the sale.

Checkout Flow
The following sequence diagram shows the checkout function's logic. The flow interacts with the Database class to get a new folio, update product stock, and record the sale, but never queries or saves customer information.

Receipt Generation
The application can generate a plain text or PDF receipt. The content of the receipt is hardcoded with the business's information ("PAME SUSPENSIONES") and the details of the anonymous transaction (folio, items, total). There are no placeholders or fields for customer names, contact information, or addresses.

Reporting and Notifications
All reporting and notification functionalities operate on aggregated, anonymous data.
Sales Reports
The system can generate daily sales reports in PDF format. These reports include:
- A summary of total transactions, items sold, and revenue.
- A list of top-selling products.
- A list of products with zero stock.
This data is aggregated from the sales and products tables without any customer context.

Notification Service
A separate notification_service.py monitors the database for business-critical events, such as products running out of stock.
- Notifications are sent to a pre-configured administrator
chat_idvia a Telegram bot. - The content of these notifications pertains to inventory status, not customer activity.
- The
README_Notifications.txtandtest_telegram.pyfiles confirm that thechat_idbelongs to the business owner/admin, not a customer.
This flow diagram shows that the notification service is for internal alerts.
System Limitations and Scope
The explicit exclusion of customer data is a defining characteristic of the system's architecture.
- The project's architectural overview states: "No user authentication or multi-user support". This confirms the design choice to omit customer-specific features.
- The data import functionality (
import_from_xlsx) is designed to bulk-add or update product data only. Error logs from this process show fields likeCLAVE,DESCRIPCION, andP/VENTA, with no mention of customer fields.

Conclusion
The pos-tioadan system does not handle customer data. Its design is centered around anonymous transactions for inventory control and sales tracking. The database schema, application logic, and supporting services all confirm that there is no mechanism to create customer profiles, track individual purchase histories, or store any personally identifiable information. This makes the system simple and privacy-focused by design, but also limits its capabilities in areas like customer relationship management (CRM), personalized marketing, or detailed customer analytics.
